Guidelines for Technology Refresh:
Faculty PC Refresh – Working in concert with the College Deans, IT staff members identify full-time faculty systems that are in need of replacement (typically systems over 3-4 years old). Replacement systems are funded from the IT budget. This program does not cover or include costs for non-standard software, peripherals, or consumables (batteries, toner, media, etc.). Additional costs are the responsibility of the individual department. Systems to be refreshed are typically identified in the summer and replaced in late summer through early fall.
Academic/Instructional Computing Facilities – The Office of Information Technology refreshes academic/instructional computing systems in the shared computing facilities as needed and as available funding permits. Replacement systems include standard software and may also include peripheral devices (printers, scanners, etc.). Departmental specific software and hardware needs are typically funded through the requesting department (e.g. SPSS would be funded by the College of Business and Economics).
The Office of Information Technology will assist in the planning of technology refresh for department specific computing facilities and classrooms that double as departmental “open labs” but funding will primarily come from departmental budget with minimal budgetary assistance from the Office of Information Technology. Dauch 106 and Miller 32 are examples of multi discipline computing facilities that may be budgeted for refresh from the Office of Information Technology budget. Patterson 204 is a department specific computing facility that may be budgeted for refresh from the departmental budgets. The Office of Information Technology may assist in funding department computing facilities refresh if funding permits.
Student Access Computing Facilities - There are three types of student computer access facilities at Ashland University:
- Open Lab (Patterson 200, Andrews 130)
- Laptop Checkout (Patterson 100 and the HCSC Game Room)
- Library Systems
The Office of Information Technology is responsible for refreshing systems in the Open Labs and maintains the Laptop Checkout systems. These systems are refreshed every 3-4 years (depending on need and availability of funds) and are equipped with standard software packages. Library systems are refreshed at the discretion of the Director of the Library with coordination and support provided by the Office of Information Technology.
Multi-media Classrooms - The Office of Information Technology refreshes academic computing and projection systems in classrooms as needed and as funding permits. Replacement systems with standard software are funded from the Office of Information Technology budget and may also include peripheral devices. Departmental specific software packages are typically funded by the department requesting the software/licenses.Administrative PC Refresh – Department Heads are responsible for budgeting for PC refresh (replacement) for all staff, administrators and student workers. The Office of Information Technology will work with the department to coordinate technology purchases but funding is a departmental responsibility. Likewise, refresh of all departmental peripherals (scanners, printers, phones, fax machines, etc.) is funded by the individual departments.
Consumables - The Office of Information Technology supplies consumables for Open Labs, Instructional Labs and Multi-Media Classrooms. Department Heads manage consumables within their departments, for special purpose facilities (e.g. Seminar Rooms, Conference Centers, dedicated instructional spaces) and for common areas within their departments for students, faculty and staff (e.g. Student Services provides supplies for the student printer in the HCSC common area). Consumables may include but are not limited to:
Printer Paper Toner Projector Bulbs Batteries
Printer and Copier Refresh - Ashland University has partnered with MT Business Technologies to supply copiers to individual departments under a lease agreement. MT is also under contract to provide support for printers under warranty and will assist in performing a needs analysis when printers are in need of refresh. All printer issues must be reported to the Help Desk for support.
New Equipment
Purchase. Requests for new equipment are submitted
to the Help Desk via the Online Helpdesk,
email (help@ashland.edu),
or the phone (x 5405). Guidelines for funding are the same as listed
in the Equipment Refresh section of this policy.
Technology
Training/Orientation – The Office of Information
Technology offers technology training classes in a variety of topic
areas. One-on-one training and application specific training may
be arranged with advanced notice. The IT Training web site is located
at http://www3.ashland.edu/it/training/.
